iCal subscription for use in Outlook, on-line iCal calenders

What is an iCal subscription and how could it benefit me?

In a nutshell: An Internet Calendar Subscription (iCal) is a calendar link that you subscribe to and view in Outlook and various on-line iCal calenders such as Google's Calenders. Internet Calendar Subscriptions are periodically synchronized automatically according to the timing you specify in the application. To use these Internet calendars, you need to subscribe to them and configure Outlook to download the calendars and to query the Web site for updates.

When you subscribe to an Internet Calendar, an additional calendar is created in Outlook. You can use many of the calendar features in Outlook, such as Side-By-Side view and Calendar Overlay, to work with these two calendars.


Google's Calenders is an example of an on-line Calender that can also make use of the new iCal feature for Call Scheduler. Please use the instructions supplied by Google to subscribe.

Who can subscribe to the Call Scheduler calendars via iCal format?

Persons with valid username,password access to Call Scheduler can create iCal links for subscription use. No calendar information is being changed; calendar information is only being accessed. This following instructions for the iCal feature is for Outlook versions 2007 and newer, and the new OS-X Macintosh. These subscription-links can be “published” via email if desired. If you want to stop a subscription, you simply delete the subscription-link from the iCal Export List, and subscribers will no longer be able to get updated information.

Here's how to get started using Outlook and iCal:

Step 1 - Bring up iCal Export:
It is found under Whiteboards > iCalendar Export.

.Step 2 - Create a calendar link:

To Add:

  • Click on "Add". Give your calendar a name.

  • Leave the Days Off checked if you want vacation and other DayOff type information on the calendar.

  • Leave the Notes checked if you want the note information on the calendar.

  • Click "Save". A unique subscription-link is generated.

Note:

You may want to create two calendars, one containing all Group members other than yourself (called something like "Group Providers" perhaps) and a second one containing only yourself (called something such as "Me" or "YourName"). These can then be “layered” in different colors in Outlook for better visibility, and can be synched separately into your mobile handheld.

Step 3 - A Subscription-Link is generated unique to each of the CalenderView subscriptions you created. You can generate as many CalenderView subscription-links as you need.


Step 4 - If you wish to delete the subscription-link, simply use the "Delete" function. If you do so, any subscribers to that link will unable get further updates to that iCal subscription-link. If you want to "announce" your subscription link, you can email it to anyone you wish, and they can use it with their iCal savvy calendaring system to subscribe.

This function gives control over who can subscribe, since you need to “announce” the link to the appropriate subscribers for them to know what it is.

Step 5 - If you are in Outlook 2007 or on a Macintosh, you may be able to simply click on the iCal link available in the list and the subscription is ready to go. For Google Calenders (Gcal) you may need to right click and select "Copy the location" and paste this into Gcal in the appropriate "Add Calender Address" location (see Google's website for details).

If you do not have this ability, you can use the copy/paste method described in steps 6 and 7.

Step 6 - From the "iCal Export" list, copy the subscription-link and paste into the appropriate location on your existing iCal calendar you have on your computer (Outlook, iCal, Mozzila Sunbird, ) If you are on a Macintosh, just click on the link itself. You can also use the subscription link to subscribe via Google's Gcal calenders.

Step 7 - In your Calendar application, click "Enter" or "Subscribe" to subscribe to the iCal link. Your Calendar application (such as Outlook) also has it's own setup area as to how often to synch your subscription so your calendar will fetch the latest information. This will tell your local Calendar application how often to seek updated information from Call-Scheduler and refresh your local Outlook Calendar.

Step 8 - Synching your mobile handheld with your Outlook calendar is dependant on your mobile phone; you will need to follow the appropriate calendar synch instructions that came with your mobile phone device. ActiveSync comes with every windows mobile handheld PC. Newer Palm devices also have the ability to "import" your Outlook calendar from your computer.

Please Note: It seems the best practice for predicable results is to always synch your mobile handheld via the same computer each time. This seems especially true for the Palm handhelds.
